Once you create a calendar and set up your Calendar Information, you can set your availability. This lets participants know when they are able to book a time with you! 🗓
Required Availability Settings
Length of Interview - How long do you want each booking session to be?
Day of the Week Availability Settings - Individual days default 9 am to 5 pm.
You can also edit your availability. Click on the day in the calendar. Set the times that you are available. You can apply the settings to all of the specific weekdays or only the day you selected.
Interval - An interval is the block of time when you want to conduct interviews/group sessions.
The Default Interval is always 9 am to 5 pm in your calendar's timezone.
Increments - Increments are the blocks of time that participants see available on your calendar.
Suppose the interval you select is from 9 am to 11 am, with a 1-hour increment.
The Participant will see two options - 9 am and 10 am.
If you select 30-minute increments, Participants will see 4 options - 9 am, 9:30 am, 10 am, and 10:30 am.
Advanced Availability Options
After setting up your availability you have the option of adding in a few additional scheduling settings.
Minimum Scheduling Notice - This setting prevents people from scheduling a last-minute booking. If you want at least a half day's notice for bookings, you would set the minimum scheduling notice to 12 hours.
Buffer Before Booking (with Google Calendar Integration Only) - The buffer before feature blocks a specified amount of time prior to a booking in case you need a little extra time to prep between interviews.
Buffer After Booking - The buffer after feature blocks a specified amount of time after each interview in case you need a bit of time to debrief and clean up your notes. 📋
Max Bookings Per Day - This feature designates how many people can schedule bookings with you for any given day.
This does not impact the total Max Bookings number for the rest of the days in your Calendar. If Monday has been edited to 10 bookings Monday's setting will override the 7 Max Bookings Per Day setting, however, Tuesday-Friday will remain the same 7 Max Bookings per Day.
The calendar isn't showing any availability! What's wrong!?
Checked the Max Booking options? If all your interviews for a specific day are booked, the Participants can't select any times.
Can I book a specific time for a Participant?
No, only the participant can select the time intervals and days you provide. Researchers cannot schedule Participants for a specific time.
The workaround is to make a different calendar for each participant, however, this is not recommended since research Participants might not be available at that specific time.
Somethings wrong, but I have no idea what -- What do I do?
